How Trea Manson finished a 550-transaction PayPal cleanup in 30 minutes

A PayPal cleanup that would have taken five or six hours was done in about 30 minutes. The same review caught a spreadsheet error that had been allocating one person to the wrong fund for six months.

Using Aqqrue is like having a partner in the room with me. It turned a 550-transaction PayPal cleanup from five or six hours into 30 minutes, and even caught a six-month-old spreadsheet error.

How the cleanup changed

For one PayPal cleanup

By hand

Deposits built so they could be matched

  • A CSV and a long afternoon

About 550 PayPal transactions needed to be split out and matched in QuickBooks.

  • A formula that had been wrong for months

On payroll, one person had been allocated to the wrong fund. It was not obvious from the journal entry.

With Aqqrue

The same cleanup

In the room

A partner for the judgment calls

  • Deposits ready to match

Trea downloaded the PayPal transactions as a CSV, set a few parameters, and Aqqrue created the deposits so they could be matched in QuickBooks.

  • The allocation did not match the instructions

After she described the payroll entry, Aqqrue pointed out that an allocation did not match. That caught the six-month spreadsheet error, and she went back and fixed it.

The decision

Why she needed a partner in the room

  1. 01

The cleanup was real client work

The PayPal file was not a sample. It was a client reconciliation that would have taken the rest of the day.

  2. 02

    The unclear work, too

When a payroll percentage is hard to pin down, she asks and gets an answer. Often it confirms what she already knows. Sometimes it does not.

  3. 03

    Time she does not have

She uses Aqqrue for the work already on her desk, for tasks she cannot get to, and for questions she wants a trustworthy answer to.

  4. 04

The error had been there for six months

On a payroll journal entry, an allocation did not match how she had described it. One person had been sent to the wrong fund, and she went back and fixed it.

The story

A client needed about 550 PayPal transactions split out and matched in QuickBooks. Trea downloaded them as a CSV, put them into Aqqrue with a few parameters and instructions, and Aqqrue created the deposits so they could be matched. Work that would have taken another five or six hours was finished in about 30 minutes.

The same kind of review helps when the work is unclear. Working out the percentage on a payroll entry to arrive at fringe benefits is one example: she asks, and Aqqrue answers. Often it reaffirms what she already knows.

On a payroll journal entry, after she gave the instructions, Aqqrue pointed out that an allocation did not match how she had described it. That caught a formula error in her spreadsheet. One person had been allocated to the wrong fund for six months. She went back and fixed it.

She describes Aqqrue as a partner for the work she already has, for tasks she does not have time to do, and for questions she wants a trustworthy answer to.

How Daniel Kaufman turned a half-day of receipt work into five minutes

One ADP Excel file was spreading payroll, benefits, and PEO sales tax across four or five departments. Three payrolls in, each one has been correct. A stack of receipts that used to take half a day now takes about five minutes.

How Sammy Mattingly took morning reporting for 30 clients off his plate

Every morning used to start with 15 to 20 minutes of the same QuickBooks reports, saved and attached to the journal entry. That work is off his plate now, and he is using the time to take on clients who need more.
